For over 40 years, we've assisted clients in making crucial decisions about equipment budgeting, placement coordination, specification selection, procurement and installation support. We help our clients understand their current operational flows while planning for future technological advancements. Our medical equipment planners are integrated design team members, offering services from early space programming and building design to construction and culminating in installation and occupancy support.

Our multidisciplinary team comes from diverse backgrounds, including architecture, hospital facility management, hospital purchasing, nursing, radiological engineering, and building information modeling. They collaborate to provide innovative, flexible and efficient equipment planning, delivering crucial information to the design team to support a safe and healing environment for patients, their families and healthcare staff. Our Services

A comprehensive equipment plan is imperative to achieving excellence in planning healthcare environments. Our approach to equipment planning extends far beyond creating a list of items and specifications. We offer a deep understanding of the equipment's technical specifications and practical application in daily use and the ability to integrate this knowledge into the built environment. We collaborate closely with the design team, offering expertise on cutting-edge technologies with a focus on enhancing the patient experience.

Programming

The project initiation phase establishes a strong foundation for our equipment planning process. Our deliverables are created to provide essential planning information in an easily accessible manner to all stakeholders and adapt as the design progresses.

Schematic Design

Our team works closely with the owner, design team, and end users to make the equipment plan as comprehensive and efficient as possible as the spaces' adjacencies are defined. Our participation in immersive design events allows us to support the planning team by answering equipment-related questions that inform operational adjacencies. Developing mockup rooms for our projects allows us to correctly size and place the equipment layouts.

Design Development

During the design development phase, our team plays a crucial role in developing the equipment list and coordinating the space and building infrastructure. We continuously update the budget and focus on identifying manufacturer/model-specific details, prioritizing group 1 equipment and items that require extensive vendor coordination. By the end of the design development phase, we aim to obtain stakeholder sign-off for all architecturally significant equipment.

Construction Documents

We continue working closely with the owner to further refine specific product details as they solidify vendor and model selections to suit their needs and budget. Serving as a bridge between the client’s product selections and the design, we help achieve seamless coordination of the fit and infrastructure details surrounding each piece of equipment. We produce equipment-specific placement plans and issue all critical product data and utility/structural requirements in addition to a list of each piece of equipment planned for each space in the project. This coordination maintains quality control between all disciplines working on the project and is crucial in achieving quality construction documents.

Construction Administration

Our team is engaged in all phases of the design process, including construction and equipment installation, where the project vision comes to life. We continue to develop the equipment plan, ensuring that any changes to the project remain fully coordinated with the equipment. We develop a procurement schedule, aligned with the needs of the contractor, so all parties are aware of when critical equipment installations need to occur. Our role is to support the project, the contractor, the design team and the owner, ensuring that the medical equipment remains an integrally coordinated component of the construction.

Procurement

Our procurement support tasks cover a wide range of services. We offer a customizable approach, providing as much or as little assistance as needed. We develop a procurement strategy to prioritize activities in support of the project, guide the timetables of decision making, and organize the approved medical equipment list into procurable packages in support of the overall strategy. Our team is highly experienced in the level of detail required to successfully coordinate the complexities of purchasing medical equipment for projects of any size.
 

Installation and Activation Planning

The key to a successful opening relies on managing the installation and relocation of all equipment into the new space. This planning phase begins during construction and continues through the facility opening. It requires close coordination of all vendors, movers/installers and contractors for seamless timing of installation. We help coordinate the move-in schedule to accommodate required installation activities such as equipment inspection, training, stocking of consumable supplies and contractor completion tasks. Ultimately, we will make sure that all equipment is installed as specified to support a smooth and efficient move-in process.

Translational Environment to Transform Cancer Care in Florida

The 204-bed acute care facility brings together research and patient care. Our medical equipment team was engaged in the early stage of the concept design as part of the Immersive Design Event (IDE) to identify the needs of the functions they would serve. Working with the owner's purchasing department ensured that our choices aligned with the facility's standards. We developed spreadsheets for imaging equipment and surgical lights to help compare different vendors.

Revolutionizing Healthcare with Cutting-Edge Medical Facilities

The new 840-bed Inpatient Hospital Tower includes comprehensive inpatient care facilities such as the Emergency Department, Imaging, Interventional Platform, Women’s and Infant’s Center, Medical/Surgical rooms, Nutrition and Support Services. Designed by HDR, our medical equipment planning team used an integrated project planning platform to align with the design team, ensuring support of the project vision and end-user needs. The tower is currently under construction, and we are continuously working to incorporate changes in anticipation of equipment procurement.

Integrating Innovative Technologies for Patient Peace of Mind

Creating optimized clinical workflows and ease of navigation was a top priority. This collaboration with our medical equipment planners, from programming to equipment procurement. The new center incorporates advanced technologies that enhance patient convenience and provide peace of mind. For instance, the addition of the ViewRay MRI-Linear Accelerator is one of 20 installations nationwide, allowing real-time monitoring and adjustment of radiation beams using MRI technology for precise treatment.

Creating a Seamless Path for Patients to Access Comprehensive Care

The Bone and Joint Institute integrates all orthopedics and musculoskeletal treatment elements — specialty care, diagnostics, rehabilitation, rheumatology, neurology, neurosurgery and pain management. Our medical equipment planners were integral to the design team, including an emphasis on operational efficiency. Lean/ Six Sigma methods supported reductions in waste and variation throughout planning. Equipment placement plans supported operationalization, workflow and coordinated building infrastructure.
